Weather and Refund Policy

MICL Refund Policy

The Missouri Interscholastic Cycling League strives to provide world class programming and provide all of our student athletes, coaches and volunteers with the best possible events and resources. With this goal in mind, we make a financial investment to cover insurance, coach training, and planning activities. These expenses are continuously incurred and are only partially covered by student athlete participation fees. In order to maintain the sustainability of the Missouri League, it is necessary we implement a NO REFUND policy.

We greatly appreciate you being a part of our family and look forward to seeing you on the trails!

Weather Policy

Below are the guidelines for how the Missouri Interscholastic Cycling League will conduct events in the case of inclement weather. Our primary considerations are the safety of student athletes, event support staff, and visitors, and potential damage to the event venue (trails and infield).

Any decisions regarding cancelling, postponing, or altering event specifics will be made jointly by the MICL League Directors, Event Directors, and land managers. Often this decision cannot be made until the day of the event due to the unpredictable and emergent nature of wet or stormy weather. That said, we will do our best to make the call to cancel, change venue or reschedule an event by noon the Thursday immediately preceding the event weekend.

The Missouri League will make every attempt to notify the event population via email (addresses taken from rider, parent, and coach emails entered when registering in the Pit Zone online registration system), TeamSnap, Facebook, Instagram, and website updates as soon as possible.

MICL Weather Guidelines

  • Events will be held on their scheduled dates and times unless there is the potential for elevated risk to participants and staff due to trail or venue conditions and/or weather.
  • The MICL will have the option to delay the start of an event from the published times if an elevated risk from weather, trail or venue conditions is identified.
  • Courses and/or lap lengths may be altered or shortened because of weather conditions. Last minute changes will be broadcast to participants and coaches via the Event Announcer or Chief Race Official. If conditions require a change in number of laps during a race, a race official will be stationed at the lap line advising riders of the change.
  • The Missouri League will develop wet-weather course alterations if available in case of extremely wet conditions that threaten the trails used for the event.
  • All activities will stop immediately in the presence of lightning, thunder or other severe weather events as directed by the Event Directors. On-course and roving marshals as well as other on-course volunteers will direct student athletes to ensure student athlete safety is the number one priority.
  • Re-starting an event that has been stopped (and course cleared) due to lightning (or other emergency): depending on schedule and portion of the course completed, the event may be declared over. If time permits, student athletes will be directed to resume event activities.

Event Fees

  • Communication of delays, changes in start time, courses, and so on will be made by the League as follows:
    • on the MICL web site (prior to event day, if possible).
    • via league email and TeamSnap (prior to event day, if possible).
    • on the public address system on race/event day.
    • via forms of social media.
  • The Missouri League will not refund any registration fees due to inclement weather.
  • If an event is cancelled due to weather or other acts of nature, the MICL still incurs most expenses associated with holding the race or event (site fees, equipment rentals, insurance, etc). As such, we ask for your understanding and compliance with our no refund policy.

Race Points

  • If a race is cancelled (not able to be moved or rescheduled):
    • No team points will be awarded and the race will not be included in the season overall team point standings.
    • No individual points will be awarded and the race will not be included in the season overall individual point standings. Riders will still have a “drop race” available from the remaining races (IE: season overall standings will be calculated based on 3 of 4 per NICA rule 8.1).
  • If a race is partially completed (some fields complete their race and others do not):
    • No team points will be awarded and the race will not be included in the season overall team point standings.
    • Individual points will be awarded in all of the fields that completed their race and those fields will proceed through the season as normal.
    • No individual points will be awarded in the fields where races were not completed and the race will not be included in the season overall individual point standings. Riders will still have a “drop race” available from the remaining races (i.e.: season overall standings will be calculated based on 3 of 4 per NICA rule 8.1).
